Because legal documents are often difficult to index using keywords, a full-text search allows users to find specific words across a group of documents to quickly retrieve relevant information. Unlike physical documents, those in OnBase cannot be left on a desk, misplaced around the office or subject to tears, spills or stains. They also cannot be accessed by unauthorized users, increasing security and privacy.

Documents in progress, such as those in the midst of negotiation, can be automatically processed through using Workflow, while version control can assure that documents are only changed by one person at any time and that all are accessing the latest version.
